Building Tech Management Inc. has “No Tolerance” policy in terms of protecting and securing the Personal Information of yours and respects your privacy as our client.

BTMI (hereby read as Building Tech Management Inc.) Privacy Policy hereunder describes in detail as how we as BTMI processed and kept your information confidential.

BTMI and its subsidiary group companies describes the methodology use in processing the Personal Information that you provide or BTMI (as we or us) receives when you under the signed contracts operate the business under our services.

  • BTMI website located at www.buildingtechmanagement.com and any custom domain (collectively, the "Site")
  • Any web-based service made available to you by BTMI.
  • BTMI downloadable or cloud-based software applications each as an “App”, Software, or “Tool”
  • All the contents posted on web (other than the user contents).

Hence thereby, BTMI products including the website, the web-based program BTMI offers, all mobile Applications, all the Tools provided by BTMI, and all the contents offered collectively as referred in this Privacy Policy deemed as BTMI “Services”.

Who is using our services:

The entities who are using our services in the first phase are the dwelling buildings and properties. The legal and official authorises personnel of the buildings or properties use our services under the signed contracts.
There usually are three main users categories

  • Property Management Staff
  • Front Desk Staff
  • Registered residents (offsite, onsite, tenants)

In the BTMI services, the first individual mainly is the Property Manager registers with BTMI, and then have the full access in the software and allowed to create the users IDs for other users as mentioned above

Building Tech Management Inc. is the custodian of all the Personal Information stored in the Software on behalf of our clients.

Personal Information Stored in the System:

“Personal Information”in the First Stage, hereby deemed as any such information that identify “You”. Such information includes name, address, email address, mobile phone, home phone, work phone, emergency contact information of the person. Second Stage, any property belongs to you e.g., your vehicle(s), your locker numbers, your parking spot numbers, your pet’s detail, and any such information that you provided to us as “Your Personal Information” as whole. Third Stage, the Personal Information in the third stage, hereby deemed as family members visiting, roommates, your housekeepers, cleaners, caretakers, individuals you allowed to have access in the unit, your Guests etc.

Your Personal Information during using the BTMI services:

  • The information we as BTMI collect while you are using our services.
  • Your Usernames and the Password
  • BTMI account generated number
  • You Digital Signature recorded in the software

Your personal information processed when you are using the features in the software such as

  • Maintenance Request
  • Request Note
  • Classified Ads
  • Lost & Found
  • Your Feedback to BTMI Admin
  • Your information provided to BTMI Admin when you submit question
  • Your personal information submitted on parcels receiving and releasing
  • When you booked the amenity (party room, elevator booking etc.)
  • When you make payment online through BTMI payment module (your payment information does not store except the payment type you made, and the last four digits of the card processed. The Braintree processes your payment information in accordance with their Privacy Policy)
  • The information such as IP address, Browser Type, Click stream data with date/time
  • User’s employment information (Title/Position, Background, Biometric/Fingerprints detail
  • Your Uploaded information (pictures, video clips, any pdf/word/excel files etc.)
  • Your scanned Documents
  • Information saved with your access essential tools
  • Any information logged in the system by management staff and front desk staff such as Purchase Order, Security logs, Incident Reports, Pass-on messages, Reminder Notes, Information that you submitted in access authorization (No Call & Key checkout)

BTMI Private Policy Ensures

When a user ID creates with BTMI, a secret system generated password sent via email to the newly account holder to verify the user. That system generated password cannot be viewed or access by BTMI or any of its staff.

The email requests to user to change the Password by clicking at Account at the top left of the screen. The password must be at least 8 digits and must contain rational numbers, upper/lower case, and unique signs to ensure the password is strong enough to be hacked.

All the data transfers are encrypted to prevent unauthorized third parties from gaining access to your information

All the access to the back-end functions of BTMI is protected with a firewall to ensure that only authorized user has access.

BTMI ensures that the admin staff of BTMI who “authorized” to have access on the BTMI products and services MUST attend and complete the training on PIPEDA and understands the compliance of related requirements to ensure that your information is safe and secured.

BTMI has heavy cloud-based storage server with GoDaddy. Access to the server is not authorized but only designated individual

BTMI use GoDaddy Web Services as a back up hosting provider that is SAS70 certified on annual basis, and this certification is reviewed annually by a third party and ensured that appropriate controls are in place to limit the risk to you information.

How BTMI use your information:

The primary task of collecting your Personal Information is to provide you the best products and services that you require and expects

Ensures the notifications of various activities should be activated promptly such as parcels receiving and releasing, parking permits releasing on your behalf, processing your classified ads, lost & found, maintenance request, request notes, feedback, your questions, your key check out/check in.

Able to administer your account and respond customer services and support requests

Keep your account information absolute secured

Modify and deliver better products and improved our services in accordance of your use of the software and by your feedback.

BTMI links to other services to better serve you:

BTMI platform is linked with other services and websites whose Privacy Practices may be different from us. If you submit your Personal Information to any of those entities, your information is governed by their Privacy Policies.

We as Building Tech Management Inc. request you to carefully read the Privacy Policy of any Web site(s) or business entities you visit by any means.

Legal Disclaimer

BTMI may disclose your Personal Information.

As required by Law, such as to comply with a subpoena, or similar legal process

When BTMI believe in good faith that disclosure is necessary to protect our rights, protect your safety or the safety of others, investigate fraud, or respond to a government request.

If BTMI is involved in a merger, acquisition, or sale of all or a position of its assets, you will be notified via email and /or a prominent notice on our Web site of any change in ownership or uses of your Personal Information, as well as any choices you may have regarding your Personal Information.

BTMI will only retain personal data we process on behalf of our customers for as long as needed to provide services and as necessary to comply with our legal obligations, resolve disputes and enforce our agreements.
